How Lead Matching Works
How Softr's matching algorithm scores partners against a customer inquiry, how fair distribution works, and what to keep up to date on your profile.
When a Softr customer submits an inquiry looking for help, our system matches them with 4 partners. Here’s what determines whether you’re one of them.
Two types of inquiries
- Standard inquiries are matched with 2 Premium Partners and 2 Certified Partners.
- Enterprise inquiries are matched with 4 Premium Partners only. If you hold the Enterprise Partner Designation, you get top priority on these and are essentially guaranteed a spot when an Enterprise lead fits your profile.
Step 1: Profile fit
Every eligible partner is scored against the inquiry across a set of weighted factors (most important first):
- Budget: whether your typical project size aligns with the customer’s stated budget
- Language: whether you support the language the inquiry was written in or requests
- Location / service region: whether you serve the customer’s geographic region
- Business type: whether the customer asked specifically for an agency or a freelancer
- Data sources: whether you support the data sources the project needs
- Integrations: whether you work with the tools/software the project mentions
- Services: how closely your listed services match what the project requires
- Industry: whether you work in the customer’s industry
The closer your profile matches these, the higher you rank.
Step 2: Fair lead distribution
Among the strongest-fit candidates, we prioritize partners who haven’t received a lead recently. The longer it’s been since your last (non-rejected) lead match, the higher your priority. Partners who’ve never received a lead get the highest priority of all.
Two things worth knowing:
- A very strong profile match can still be passed over for a lead if you’ve recently received others. This keeps distribution fair across the program.
- Being passed over isn’t a reflection of your quality; it often just means it was someone else’s turn.
What partners can do to get matched more often
- Keep your profile complete and accurate: budget range, languages, service regions, business type, supported data sources, integrations, services and industries. Blank fields aren’t held against you, but they also can’t help you match.
- Make sure your listed integrations and services reflect the kind of work you actually want.
- The more specific and accurate your profile, the more often you’ll surface as a strong fit.
